GENERAL PURPOSE OF THE JOB:
The Operations Manager plays a critical role in enhancing Bridge of Life’s capacity and global impact. This new position will support the organization’s key programs, assist with volunteer management, streamline internal processes, and implement monitoring and evaluation systems. The ideal candidate will thrive in a dynamic environment, where they’ll work cross-functionally to develop efficient tools and ensure smooth program operations.
MAJOR RESPONSIBILITIES:
The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all-inclusive.
Program Administration:
- Develop and maintain systems for tracking partner and volunteer applications
- Oversee in-kind donation inventory and usage, and support efforts to secure donated supplies and equipment
- Purchase program supplies, coordinate shipments, and manage customs approvals and related logistics
- Manage the organization of program materials and support the development of new materials (certificates, training decks, brochures, surveys, etc.)
- Represent Bridge of Life at external events
Volunteer Recruitment & Engagement:
- Implement volunteer recruitment strategies for BOL projects
- Manage volunteer database along with satisfaction surveys, testimonials, etc.
- Assist in the development of new and innovative strategies to effectively prepare volunteers for medical trips in specific countries across the globe
- Lead post-mission initiatives to show appreciation and equip volunteers to serve as BOL ambassadors
- Coordinate volunteer service projects in the USA that directly support BOL’s international initiatives
- Collaborate with the DaVita Giving Foundation to promote volunteer opportunities and document hours
Monitoring and Evaluation (M&E)
- Strengthen and maintain program databases for tracking outcomes and performance
- Develop user-friendly monitoring and evaluation tools, and collaborate with staff and partners on reporting requirements and implementation
- Analyze program data and assist in creating reports that include statistical, narrative, and graphical analysis
- Support collection and organization of qualitative data such as patient stories, testimonials, etc
- Provide updates quarterly and as requested by BOL leadership
- Use data to develop new strategies that enhance program design, impact, and overall organizational effectiveness
Operations Support
- Conduct research to support program strategies, including identification of project locations and potential partners
- Define the products and develop internal procedures to increase operational efficiency across the organization (i.e. shared files, project management tools, communication protocols etc.)
- Contribute to strategic planning, events, development efforts, Board meetings, and other core operations
- Draft program-related policies, procedures, and checklists
- Support and lead projects on site as needed (requiring international travel)
MINIMUM QUALIFICATIONS:
- Bachelor’s degree required
- 3 years of related non-profit experience
The ideal candidate has demonstrated the following:
- Passion and commitment to improving healthcare for underserved populations
- Project management training and experience
- Ability to track and analyze data
- Excellent interpersonal and communication skills
- Ability to prioritize and adapt based on changing priorities
- Ability to manage multiple high-priority projects and deadlines
- Ability to prioritize and work independently while maintaining teamwork and collaboration
- Computer skills: Excel (including dashboards and pivot tables), PowerPoint, Tableau, Filemaker, Teams
Other preferred skills and experiences include:
- Experience in the nonprofit and/or healthcare sectors
- Experience working with volunteers
- International travel/cross-cultural experience
- General knowledge of international health, international development and related organizations
- Fluent in Spanish
TRAVEL REQUIREMENTS:
This role requires some domestic and international travel (approximately 5%)
PHYSICAL REQUIREMENTS:
Ability to lift up to 25 pounds (for packing and shipping supplies)
SALARY RANGE:
$70,000 – $80,000, dependent on experience.
